I just got off the phone with one of their client support executives and got the skinny on how the new plans work. I encourage you to read my review below regardless of the most recent changes to the ECM services.

  • My plan was $27.99 per month and now it will be $19.95 per month but won’t include 50 scanned pages.
  • I’ll now pay $1.50 per scanned mail piece but this includes up to 50 pages per mail piece and $1 more for an additional 50 pages. (So a 90 page piece of mail would cost $2.50 to scan) On average I scan about 6 mail pieces per month out of all my mail. This means that I’ll pay close to what I was paying before after my scanning charges.
  • Shredding used to be free (recycling still is) but now costs $4.95 per month. I always liked to be able to shred certain documents with credit card numbers, etc. I was told over the phone, though, that the recycling is securely boxed up and shipped to the recycling facility where it is immediately destroyed. Not left laying around. Interpret this as you will.
  • They have a service that deposits any check into any U.S. bank for $24.95 per month. Ouch! I only receive a couple of checks a month. Most of my clients ACH my fees to me.
  • The plan features can be switched on month to month. This means that you can use the check deposit feature one month and not the next. Same for the shredding feature.

Over all the service still seems very useful to me and I’m going to stick with it. Just for perspective I get about 30 pieces of mail per month, scan 6 of those on average, and get 2 – 3 checks from clients.

HOWEVER! Most users who’ve commented here who were with ECM before the pricing change seem pretty pissed! Costs have gone up significantly for the small business user who needs to scan most of their mail. The only reason it’s still costing me about the same is that I have the Seattle walk up address and can go pick up my mail in bulk twice per month. I still like the convenience of having the downtown address, the scans if I need them, and a centralized location to receive my mail.

REVIEW

I’ve been using Earth Class Mail since the beginning of August 2007 for all my business mail and some of our personal mail. At first glance this service seems awesome. The premise of having all your mail go to a secure processing facility to be processed for access at anytime and from anywhere is very appealing to anyone who spends anytime working from a remote location or traveling. What’s more, I reasoned, it’s a lot cheaper than using the USPS mail forwarding service which in my case was costing me $40 per month minimum.(I believe this is the standard minimum cost for anyone and just results in having all your mail physically forwarded.)

In the past I would be traveling for an extended period of time only to come home to find a monstrous stack of mail waiting for me usually including one or two time sensitive documents gathering dust. I think people assume, when you’re running a business, that paper mail sent to a business address will be received immediately so they don’t think to notify the recipient that it’s coming. That’s just not the case these days for the mobile worker or frequent vacationer.

Setting up my accounts was relatively straight forward although I was a little confused about exactly how to fill out the form 1583. Form 1583 is a U.S. Postal Service form that gives Earth Class Mail Corporation the authority to receive mail on your behalf. The U.S. Postal Service requires Form 1583 as a fraud prevention measure. Obviously it’s a necessary step but I think ECM could do a little more to make filling out the form correctly easier. Perhaps a step by step visual tour? I’m pretty government form and tech savvy and it required at least two phone calls to ECM support to figure out how to get it right for my four business entities.

How the billing works

Plans are charged month to month. They no longer have the 6-month minimum contract periods nor do you have to make an up front deposit to cover your potential scans. You pay for scans when you need them against your credit card on file. The picture below is their new service offering as of August 2009 although they may take a few weeks to roll out these exact plans. I’m told that if you signup today under one of their legacy plans you’ll eventually be converted to one of these two plans. Please be aware that the plans at the site are not the same as below. But this is where it’s going for everyone regardless if you sign up under another plan today.

Earth Class Mail PlansAfter speaking with the ECM representative today I’m convinced that most small businesses will be just fine with the Essential Plan. You may be thinking that you’ll need to do a lot of mail scanning. And perhaps you will. But I think you’ll find that not only do you rarely need physical copies of your mail, you often don’t even need to know what’s inside your mail. I know this sounds stupid on one hand but I think you’ll have the same experience I’ve had – most of what I get is just not needed because of the fact that most of my bills, banking, invoicing, and communications is happening electronically these days. Even so, scanning up to 10 pieces of mail per month just isn’t that expensive if you have the Essential Plan.

For larger businesses that have more than five employees who need to receive mail in their names and/or plan to have checks electronically deposited you’ll want to go with the Professional Plan. You’ll also get the scan downloader for batch downloads of your scanned documents. All accounts will be able to download their scanned mail but you’ll have to do it piece by piece without the downloader.

My favorite feature

It has been absolutely refreshing to be able to shred (UPDATE: As of 8/1/09 it appears that there’s going to be a $4.95 per month charge in addition to any plan you may have to shred mail but it may not be any more secure than just recycling but I wouldn’t be on it.) or recycle my “virtual” mail at will.  I relish the opportunity to recycle all the annoying credit card applications and advertisements that I used to have to haul out to my trash every week. It’s also been enlightening to see how often I don’t actually need paper copies of actual mail. I’ve been seeking to go paperless for years and this allows me to preempt the step of having to scan mail I want to keep copies of but don’t want the paper version clogging up my life or productivity. (I typically just download the pdf’s of the scanned mail to a folder on my desktop.)

Overall I’ve been extremely pleased with Earth Class Mail’s offering. There are a few competing options but I wasn’t comfortable with them in comparison for one reason or another. (Security, reputation, price, etc.) It’s important to note that you’ll most likely want magazines and packages going to your physical location instead of the ECM processing facility unless you live in an RV or are overseas with the military.

I do have a wish list for Earth Class Mail:

  • Improve the User Interface with AJAX scripting. This will allow the user to navigate their mail with greater ease and time savings. See Gmail for a great example. [Update – As of June 2009 their new interface is VERY ajaxy and more intuitive)

    Update Dec 07 – They recently dramatically improved their interface. Much quicker and behaves a little like a well coded AJAX site.
    Update June 09 – They did a complete redo of their interface. It behaves much like a good browser based email client. Much more intuitive.

  • Allow for batch downloading of scanned documents. “Download All” would be very helpful for the user who has more than one scanned piece of mail in their queue. (As of August 2009 they are implementing this for their professional plans with a $4.95 charge.)
  • Improve the 1583 process for people with multiple business entities but only a couple of recipients.

This service is great for the “Vacant Desk” worker or anyone who’s constantly going somewhere. Check out their risk free 30 day trial if you’re not sure this is for you.

I highly tentatively recommend Earth Class Mail

It’s perfect for frequent travelers, people who are trying to go paperless, those who get headaches just looking at stacks of mail, or people who want to centralize their communications.

    First off, I'm sorry it has taken so long to respond to this fantastic review of our service. This is one of the best descriptions I have come across yet of how we do things. Thanks for adding the detail on the shredding feature. There is a charge for shredding, but most people choose to use recycling because is it still handled securely, and never has the opportunity to be rifled through.

    Just a couple corrections: the Scan Download feature does not have an extra cost. It is included in the Professional Plan. The Check Deposit monthly charge is $34.95. If anyone has questions, we always welcome emails and phone calls.

    Also, thank you very much for your wish list. Most of our improvements are based on customer suggestions. We really do take them very seriously.

    I used this service for a year wile i traveled and it was good, but when they changed there pricing it was not worth it to me. I went to cancel and found out you cant cancel for 6 months, and they can hold your mail and charge you anything they want to send it to you. That is crooked and wrong, I DO NOT recommend anyone use this service ever. Once you sign up they have you over a barrel and they know it!
  • I think there was a misunderstanding somewhere. We switched to month to month terms so that customers can change features or cancel anytime they want. The 6 month rule has to do with mail delivered to closed accounts.

    USPS does not let us return or forward mail that comes to closed accounts. For six months they require us to continue to receive it. After the six months we are finally allowed to mark it "return to sender." We would prefer to be able to return it as soon as the account is closed, but for now, we are not allowed to.

    To summarize, you can close your account whenever you need to. The six months rule starts when the account is closed, no matter how long the account was open. This applies to all services like ours. Until the USPS changes the rules, this is how we, and all companies like us, have to handle mail for closed accounts.

    I realize that the pricing change has been a shock to most of the legacy users but I'd be surprised to learn that you couldn't cancel your account at any time. I believe it's month-to-month.

    Also, what do you mean by " ...they can hold your mail and charge you anything they want to send it to you."? It seems like their prices are pretty well published and my experience has been that they charge per those terms. (25 cents per month per piece for storage and about a buck per item to ship USPS on top of actual shipping costs. Not the best deal but...)
  • I've had an account with Earth Class Mail for about a year now, and have been quite displeased with how they keep raising their prices. Last year, when I signed up, I was able to prepay and get their basic level of service for $9.95/mo, which included something like 15-20 scans per month. Now, a year later, when it comes time to renew, I've found that they are charging $19.95/mo for their cheapest plan - which includes NO scans: you have to pay an extra $1.50/scan on top of that already high monthly fee.

    I called it quits with them and looked around for another service offering the same features with a more reasonable cost, and found a Michigan-based service called Mailbox Forwarding (http://www.mailboxforwarding.com). They only charge $9.95/mo and include 10 scans, just like Earth Class Mail used to when I first signed up with them. Their service works the same, and I've been pleased with the online interface.
  • I'm also pretty disappointed by the price increase, it's made using the service uneconomical. However, it's currently acting as my registered agent for my business. Since I'm traveling a lot, I really need a virtual service to deal with physical mail and receive mail for the business.

    Does any one have any experience using another service for the business address?

    At this point I haven't found anything that seems legit, stable, and
    cost-effective to make me switch. However, I have the advantage of being
    able to bypass the scanning costs and just pick up my mail at the Seattle
    address where I receive my mail. (However, I still have to drive there. But
    I like going to downtown Seattle and I only do it twice a month.)

    I'm going to be revisiting the options soon. I've had my eye on a few of
    them and I'll hopefully be writing a post about them soon.

    I know a few people in the comments have recommended services that they've
    had a good experience with but I just don't trust that many those services
    will be in business long-term. That's obviously a concern when you're
    redirecting your paper mail. It's not like changing your pants.

    Even if the person(s) handling my mail is hard working, well meaning, and
    has been doing it for a few years, I have questions with their security,
    hiring qualifications for their employees, longevity, etc.

    I realize ECM has disappointed many of us small business owners but I
    haven't found a compelling alternative yet.

    Thanks for the comment and I'm sorry for that abrupt change in cost. That's a lot of money in your case!
    However, I'd be very surprised if I was threatened by ECM for my review. I think it's pretty fair to the features and scope of the service and only through the comment section has the whole scope of people's experience come to light.

    For the most part the only meaningful complaint I see against ECM is their pricing changes. The forwarding issues and (supposedly) lost mail are part and parcel (pun intended) with using a service like this.

    Yes, the price increase is dramatic and oppressive to many. I'm not happy about it and I agree with many that it's unfair to the existing customers like myself. Here are my questions:
    1. Why did they do it? Were they headed for disaster if they didn't?
    2. Do they have some sort of marketing data that says there are more businesses out there who are willing to pay for the services they way they're structured now? I certainly don't see it working for the really small businesses and sole props out there who really can't afford to spend $50 or more per month to process their mail no matter how convenient it is.
    3. Will there, in actuality, be a mass exodus of their small business customers? Or is it too much work for guys like us to change at this point with all the notification and change in behavior that's required?

    The bottom line for any company is whether or not they can charge what they think they deserve (or need) for their services and stay in business.
    Staying in business requires profits and growth. Does ECM have that at their old pricing? Their new pricing?

    I'm not happy with the change. I think the core service offering is still innovative and useful but it's becoming much less useful as the prices go up and I'm not willing to pay for the scans, shredding, or electronic check depositing.

    I'm surprised this post is still available. I see complaints about ECM pop-up daily and shortly they are removed due to threats of law-suits, etc.

    After reading ECM's advertisement of "Keep one address for life" at http://www.earthclassmail.com/expatriate-employ... I decided to take the plunge nearly two years ago for my personal mail as well as my business. We are a small consulting company that receives 30-45 checks/month and were an early adopter of their check depositing feature. We endured all sorts of issues and worked with their team to identify the cause as well as paid additional cost to ship the failed checks to ourselves to deposit manually.

    A few months back their rates changed DRASTICALLY. Our yearly cost went from ~$700 to nearly $4000.

    How is it legal for a company to advertise "Keep one address for life" then change their rates for existing customers who have spent time and money changing their address, creating websites, printing business cards, invoices, creating marketing material, etc.??

    What more can be done? What mail forwarding services should we use so this never happens again?

    It's a combination of the amount of scanning, shredding, and shipping of the physical mail pieces I do.

    Regardless, you're right - the changes are going to cost most of us more than we paid before the rate hike.

    At this point I'm very, very careful with what I choose to scan because of the increased cost. However the convenience outweighs the cost for me. If I don't want mail coming to my house address - which I don't really like because of the separation of home and business life - I'm going to use something like this or a PMB.
    But most PMB's don't have the additional service options available that ECM does. Like signing for packages, easy forwarding, scanning, etc. which you can opt to use in one month chunks.

    What I'm doing now is driving down to the ECM address I use instead of scanning the documents and picking up my mail. I probably do it once every two weeks. This is pretty absurd given the tone of my review but one rolls with the punches - right?

    All that being said, I agree that their price increase is egregious and it's hard to believe that most small businesses are going to be able to handle it in stride.

    For those of you who are going to make the change, what are you going to do? Bob is going to use PaperlessMail.com, what are you going to do to emulate what you got from ECM?

    I've been relatively happy with ECM for a while, but their rate increase will up my bill from $9.95/month to approximately $50/month. I called them and a representative confirmed my estimate of the new rate for me. I will be dropping them when my contract is up.

    A 500% rate increase seems a little stiff in this economy (a 10% increase would seem stiff in this economy), although they may be a good deal for people with different needs than mine.

    I travel in an RV and have a number of pieces scanned and a number of shipments forwarded to me each month. Given the bait-and-switch nature of the promotion that got me signed up and the preposterous prices they are now getting, I expect that they will be out of business within a year.

    I will have to try paperlessmail.com at $10/month with all mail scanned and an 8-year track record. The only down side of paperlessmail is that they charge a $5.95 flat fee per item to physically get a piece of mail for shipment to you (plus shipping costs). I agree that their web site is pathetic, but they have been around long enough that I believe they will be reliable.

    Although most of us would love to save a few bucks I'm not too sure about the Paperlessmail . com solution you're proposing. The site looks like it was put together by a first year graphic design student and there's no information about who's running this company. Most of the time that might not make a big difference but when we're dealing with my mail - some of which is sensitive because of accounts and socials - I don't want some faceless company handling my stuff.
    Sure, ECM is new to the scene too, but they've managed - at least in spirit - to engender confidence from their users. The main issue with them these days is their pricing and throwing the small business owner (potentially) under the bus.
    Paperlessmail has a creepy looking site, creepy old demo video, and a bad user interface.
  • Check out paperlessmail.com They have been delivering postal mail online since 2001 and do it for less than earthclassmail. Their service is $9.95 per month. PaperlessMail is efficient because the entire mailpiece and contents are scanned and delivered as soon as it is received. When earthclassmail receives the mail they only scan the outside of the mailpiece and then delivery is delayed while you need to tell them what you want them to do with it.

    Earth Class Mail just more than DOUBLED their prices for existing customers.

    I get a modest amount of mail (10-15 pieces per month), and this service now (with all the nice little add on charges, ie. $1.50 if you actually want to be able to see your mail, per piece) costs over FIFTY DOLLARS PER MONTH!!

    They don't care about their customers one bit. What other service have you ever used who will double your per month price, with no warning, and no alternative?

    I was one of the first to give supportive comments to this service (Morris Coolbaugh December 14, 2007 at 3:19 am) but with the price changes it will cost me about $750 per year for the service I now use costing about $216 per year! ($19.95 base + $4.95 shredding + 10 scans per month x $1.50 per scan + 30 letters sitting in storage for 3 months x $0.25 per letter per month). Being overseas and with their very high rates to send mail overseas, I only have the mail sent to me 2-3 times per year, hence the long archival times.

    So, when my contract is up in December, Bye Bye. Happily I never stopped using my previous very low cost mail forwarding company when I signed up with ECM, but had all my mail still going to that forwarder, who then sent it on to ECM. This was because I was nervous about how long ECM (Remote Control Mail / Document Command back then) would stay in business. And, now, as far as I am concerned, they ARE out of (my) business, and so at least I don't have to change my addresses people send mail to - I have always used the old (inexpensive) mail forwarding company.
  • I think you are badly mistaken about Earth Class Mail. The service is excellent, no doubt about that. But the price hike is reprehensible. I have been a customer for over two years and I paid $9.99 a month under their "essential" plan. My Earth Class Mail address is now my "permanent" mailing address for everyone. That has now increased to $19.95 + all the added fees under the new plan. That's over a 100% markup.

    You would think that Earth Class Mail would have been loyal to their original customers. Raise prices, fine - but grandfather us originals in at a reasonable rate. The one we used when we gave out our address to everyone.

    I find them to be despicable in the way they have handled this. It is far from a good value. To the contrary, by doing this they have created a tremendous headache for me in that I will no need to change all my addresses all over again.

    In the year that I have had ECM;
    1. Several pieces of mail, (5) have been "lost" in their system. Eventually they surface and get delivered to me.
    2. Notification of mail delivery has been highly variable. I also have experienced long delays between the letter's delivery, and notification from ECM that I have that piece of mail.

    Even with those annoyances, having a service wherein I could have my mail "virtually" in front of me, allowing me to choose to scan, recycle, shred, or archive said mail, was a nice service.

    That has all ended. Do the math, and their new service has a built in 200% increase in fees, and probably more.
    $19.95 per month base rate, with no services.
    $4.95 per month shred fee, use to be included in base fee.
    $15.00 per month, for me (at $1.50 per scan) for scanning. Most scans are only a couple of
    pages. The "allowance" of up to 50 pages is usable by very few. I
    average 10 scans per month, about 4 pages each. Use to be included in the base rate.
    So the service that use to cost $24 per month, is now over $40 for the same or less services, without adding the the new additional mail storage fee ($.05 per piece per month) and charge to forward mail.
    Added up, you now have a huge increase in costs. That leaves me the option of cutting back on services I have come to appreciate and use, or pay extra for them.
    ECM is now not a good deal for the services they provide.

    Additionally, when I change services (and I will), from pervious posts I see ECM will be unhelpful and not forward my mail. Which leaves me the only option of carrying two services for whatever period it takes to get all my important mail notified of my new address.

    ECM, I have no doubt you are losing business and I also have no doubt you will hurt in these economic times.

    I hear what you're saying. The new fees threaten to blow my budget out of the water.
    Up until now I was on the $29 a month plan which had free shredding and quite a few scans. Only once did I go over on my scan allowance.
    With their new rate of $19.95 I can only scan 6 pieces of mail and then I'd threaten to go over my previous rate.

    I asked them why they were insistent on changing their rates and I was told by an "insider" (whether he actually was or not, I don't know) that they were losing money hand over first. Probably not entirely true but I'm sure they love money as much as the next business.

    I was mollified after talking to a service rep who showed me how it was going to be about the same price for me if I didn't have the shredding. He also told me that the recycling is as secure as the shredding because the recycling goes into a sealed container and then it's incinerated at the recycling facility. I've since found out this isn't true. I asked the guy at the South Jackson street location in Seattle how they handled the recycling and he told me that it goes into an open container and sometime just sits out in the open. (I'm not sure if he meant outside in the alley or not but that's the impression I got.) Not comforting if you have mail that should be shredded but you don't want to pay for the extra service.

    Also, the much vaunted checking deposit service is expensive! How much can it cost to facilitate this service. I was told it was because they were forced to use a third party who's pretty expensive. Whatever. I won't be using it until it's cost effective.

    All that being said, what am I going to do? It's still cheaper than USPS forwarding to my home office and I don't want to drive to get my mail regularly. I also want to be able to access it while on extended vacations or business trips.

    Overall I like the service. But you're right Rick. Price is becoming an issue for the small business owner. Thanks for your comment.

    I did get in touch with someone at ECM about the issue of mail not being forwarded when you cancel your account. One of their people got back to me with the following:

    Just to quickly address the situation, there are some cases where we're not allowed to forward mail due to USPS regs.
    There are yet other cases where a former customer has closed their account, been refunded any remaining balance, and expects us to forward their mail using our labor and postage $$. In this case, customers have agreed in more than one form that mail will not be forwarded for closed accounts. I’m happy to share with you the sections of the USPS Domestic Mail Manual and our User Agreement that address this point if you are interested.

    Regarding COA’s; we are very explicit about the fact that we are not allowed to submit, nor does the USPS honor change of address forms that are submitted to redirect mail away from a Commercial Mail Receiving Agency, of which ECM is designated an official CMRA. I’m also happy to share the USPS regs. On that if you so desire.

    This is a noticeable source of confusion on the part of customers who close their accounts, which surprises me considering the lengths to which we go to relay the information verbally and via email to those whose accounts close, either via choice or non-payment.

    I’ve included the copy of our closure email that every customer who cancels gets here:


    "We're sorry to lose you as a customer. Before we can close your account, we just need to verify your identity as a precaution against anyone else interfering with your mail, and then briefly review our closure process for your approval.

    1. Because email addresses can be falsified, please reply to this message and include just the last four digits of the credit card number used to pay for your Earth Class Mail service.

    2. Please confirm that we have shipped or shredded any mail pieces that you want physically delivered or securely destroyed, and that you have changed your address information with anyone still using your Earth Class Mail address. The US Postal Service may not accept a Change of Address form going from a Commercial Mail Receiving Agency to any other address, so it is important to directly inform your mailers of this change.

    3. In the interest of improving our service, we'd like to hear your reasons for canceling. Is there anything about our service that you think we should know? Are there changes we could enact that might make you interested in keeping your account?

    As soon as you've replied to this message to confirm your identity and agree to the terms of closure, we will complete the cancellation process and initiate a refund of any available funds remaining in your account. Any mail received for you after closure via carriers such as UPS, FedEx or DHL will automatically be returned to sender. In accordance with federal regulations, any mail we receive for you via the US Postal Service will be retained in our secure storage system until six (6) months after the account’s closure. At the end of this six-month period, all remaining and future mail will automatically be shredded to protect your privacy.

    Note: The only way to gain access to any mail retained in your closed account is to retroactively undo the closure by paying the same total fees that would have been charged had the account remained open. Please avoid this expense by double-checking with your mailers before you complete the closure process.

    Thank you for trying Earth Class Mail! If you have any questions or concerns regarding the above information or any other aspect of your account, please don’t hesitate to let us know."


    This is obviously a pain for people who close their ECM accounts even if they are fully aware of the fact that there mail cannot be forwarded. However, I believe the upside of the service outweighs the inconvenience of having to notify your senders of your new address. You have to do that eventually anyways.

    I personally don't believe that ECM is using this as a way to retain customers.

    This is disturbing to hear about and I’d like to give ECM a chance to respond directly to us. I’m going to email/call them and see what they have to say about it. I’ll post back here when I get a reply.

    I've never, ever had to wait 3 weeks for a piece of mail. Ever. I've heard this a few times and I've been paying very close attention to my ECM pieces.
    As far as the $10 forwarding charge - It's typically not that much unless you're forwarding a lot of mail and the whole idea of this service is to not deal with your paper mail at all!

    Sure, the occasional check/payment gets sent to your ECM and the direct deposit thing is a bit of a joke but it only takes a modicum of effort to reroute payments before they're sent if this is a problem.

    Also, the service your recommend is probably a great option if you can have your mail sent to Australia. I'm sure most people in the United States aren't going to be able to make that happen.

    I've been researching earth class mail as I need my mail forwarded due to the traveling aspect of my job. Some people said they had to wait 3 weeks for 1 piece of mail. And then pay $10 to have it sent to them! Sounds crazy to me.
    Anyway, came across mail4ward.com and they have by far the cheapest prices of any mail forwarders and offer pretty much the same service. Signing up today. Will let you know how good they are in a few months time

    I keep hearing people complaining about the late delivery of mail. I'm going to have to start paying attention to the postmarks on the mail I receive and see if my mail is really late. Regarding the not forwarding of mail - that could be a major pain in the butt. I'll have to keep that in mind when, and if, I cancel.

    I have used ECM for about 6 months. At first I was happy with the scans and my only complaint was that they do not capture (OCR) when they scan. However, I was able to capture the scans myself using Adobe Paper Capture plug-in. Then I noticed the mail was way too slow. In some cases, it took me a month and a half to get my mail. Obviously, this was unacceptable. After some important mail was not received on time, I decided to cancel the service. That is when I found out they do not forward mail. They hold your mail hostage. Do NOT use this company. They will soon be out of business anyway because they are simply too slow to be useful. BTW, I now have my local UPS store scan my incoming mail for 10 cents a page. This works better because I can look at the mail first (assess its priority), then I have it scanned afterwards. The UPS store's scanner does capture (OCR) the text and they can send it to me by email or put it on a thumb drive. The result is the same and the cost is lower and the speed is much faster.

    Regarding your comment about the check deposit service...


    After a while I began receiving some insurance reimbursements that trickled in at about one a week. ECM does indeed have a service for depositing checks in a bank account, but this could only be done for business accounts and there was a fee for the service.



    I was really excited about the ability to deposit my checks without ever having to touch them but when I looked into the type of account you needed with Wells Fargo I immediately deflated. I already have numerous accounts with Wells Fargo for my business(es) and the type of account required the ACH/direct deposit service is expensive and doesn't allow you to have checkcards for your accounts. It's called an Analyze Checking account, I believe.
    Anyways, I'm not using it and I can see how inconvenient receiving checks at your ECM address could be without it. I don't get that many checks anyways so it's not a deal breaker for me.

    I gave Earth Class Mail a try for about a year. They delivered reasonably well in terms of receiving my mail and the scans were accurate and of a sufficient quality. I began to notice that sometimes it would sometimes take a few days for me to be notified about the arrival of a letter, and maybe a day longer to scan it than I'd like, but nothing is perfect and it wasn't a real problem.

I decided that ECM wasn't really a good solution for me in this situation and decided to close my account. Their customer service was able to close the account but that's when the shock about their service came....

    They wouldn't forward my mail.

    They told me to file a change of address form with the post office, however since the address where the mail is sent is a business, the approval needs to come from them. They were absolutely unwilling to accommodate this. I contacted the postal service and was informed that while it isn't a problem to forward mail from a PO box, the PO box company needed to approve the change. ECM suggested that I contact all of the individuals who might send me mail with the new address.

    So that's it. I'm keeping their service for an extra 4 months to make sure my address has been changed with everyone to whom I have ever given the address. There was absolutely no problem forwarding my mail to them, but their policy was to force me to keep my account open or have my mail simply disappear. For that reason I would caution anyone against using their service. I'd rather have my mail sent to a friend or PO box and ask someone there to scan it if my address were to change.
    It is entirely possible that I missed some language in their contract informing me of this policy, but at the same time there was certainly no extra effort to point this out in the long paragraphs of their billing policies. Ultimately the no forwarding policy is absurd and predatory, the convenience is outweighed by the suspect business practices.

    If you choose to discontinue using the Earth Class Mail service, they will ignore a USPS change-of-address form, and will refuse to forward your mail.

    That's too bad you had a bad experience. Overall it's been a very useful service to me and they've been extremely responsive over the phone.
    The convenience of getting digital versions of your mail wherever your may be is just too enticing to me.
    There are definitely some hoops to jump through and it may not work for everyone but hopefully they'll get every detail ironed out and it will be easier to integrate.

    I had a completely different experience. Earth Class Mail simply did not deliver for me. It sounded like a great service, but I was extremely disappointed when I learned that their promotions were blatantly misleading. I cancelled cancelled cancelled.

    Not sure if this a bad sign, but just received a notice from Earth Class Mail that my account was suspended due to the following:

    "We're writing to let you know that the credit card you have on file with your Earth Class Mail account has not been receiving recent charges related to your subscription. Unfortunately, this has caused an overdue balance on your account, and as a result we have had to suspend the processing of any services (i.e., recycling, shredding, scanning of contents and forward-shipping) on your postal mail. "

    Now, what is so troubling is that there was no notice that the card I had on file expired, no notice or request for me to update the card, nothing. Just a "Hey, we can't get our money, so you are suspended..." so to speak. On a Saturday too.

    So, I login, update my card and there is no way to process the card via their system and my account remains suspended and I don't have the ability to have my new mail scanned, sent, nothing. With a service that is so "cutting edge", you would think that they would 1. send out more of a notice rather than just cut you off at the knees and 2. give you a way to update and manually process the updated card information.

    The real test is how long will it take them to process the suspension and allow me to view my mail or will they hold me hostage because their system is inadequate to handle such an incident.

    Ive been using http://www.privatebox.co.nz as my international address, currently we are in England and are moving to the USA. perhaps Earth class may be able to help us out aswell..

    I feel your pain. Occasionally I get checks from an old business I sold where the new owner has not properly notified his customers that the mailing address has changed. I keep them as long as I can so more can accrue because the cost of forwarding them is so great.
    For the business owner that needs weekly forwards but doesn't require most of their mail forwarded this can be especially aggravating.

    I've found that, other than those annoying checks that show up, I don't forward anything. I just download the pdf images of my mail to a folder. I love that!

    They've said that soon they're going to allow for ACH deposits of checks received. That will be nice.

    Thanks for this review, it was a helpful and true testimonial. After reading this, I signed up for my own Earth Class Mail account and have been directing my mail to that address. Unfortunately, there is one significant omission in your review that would have changed my decision. My Voter Registration card went to my ECM address, their least expensive option for forwarding the document to me is DHL, for the price of $7.70! While multiple documents could be shipped this way to decrease the cost, I'm simply not in a situation to make this an option for me at this time.

    Had I known that ECM's implementation was with large volumes of forwarded mail in mind, I would not have signed up for the service. They claim to be investigating USPS options, but their service has certainly been present for long enough that the implementation should be completed.

    I would be in the same situation if I were sent a check or new credit card. In my opinion ECM is not yet ready for home or business users who would need around 1 document a week forwarded.

    Yes that was very confusing at first. I didn't want to set up separate paying accounts for each entity as some of them are LLC's set up for temporary projects. First off I can assure you it can be done although the process is about as clear as mud.

    Right now I just have one account with about four different companies receiving mail to it. However they do have a process they'd like you to follow. Here's an email I received from their support:
    "Mark,

    We have been receiving mail for a recipient not listed on your account. In order to ensure delivery of these pieces of mail, we ask that you add this recipient name by logging in to your account, going to the Manage Account tab and selecting the Manage Recipients link. Please then click on the add button and input the information for

    XYZ Group LLC
    Monkey Huggers LCC
    (names changed, of course.)

    A welcome email will be sent to the new user with their name at the top, followed by a temporary password and instructions to log into the website and activate their account. Once they log into the Earth Class Mail website using their own username and the temporary password as listed in the email, they will see a final set of instructions for creating a permanent password. Please note that until this process is completed, any mail addressed to them will be placed in the "Unassigned" folder which can be viewed only from an Administrator account or could potentially be marked as undeliverable.

    If you have any questions regarding this process, please feel let us know; we'll be more than happy to assist you further."

    I haven't done this yet so I occasionally have to go to the unassigned folder to re-allocate my mail.
    Overall it still works just fine.

  • I'm curious how you have found ECM in regard to using multiple business entities. Their sign up only seems to support one business entity (and they recommend separate accounts for each entity). In our case, we have one business but it uses a "dba" (the corporation name is Boss Logic Inc. but we now do about 90% business under System Technology Institute). Where you able to use multiple entities on one account? How did you go about entering this on the sign up form? Have they been reliable in regard to the different entity names?

    That's really cool you've been able to use this as an overseas option. It takes a bit of discipline/re-training to not need paper copies of mail to feel secure. You're probably more disciplined than most because of the high cost of shipping the mail.

    I am a missionary living in Asia and I started using ECM's service more than a year ago and I have been pleased with their service in general. They still have some bugs to work out for foreign addresses because some countries don't fit into the USA mold of the "person, street, town, state, zip code" format they use. Also the mail forwarding costs are pretty high, but since I have been archiveing my mail for six months at at time and only forwarding two or three times in a year, it's not too costly overall. My only concern initially was whether they would survive startup and become a long-lasting mail option. So far it looks like they are making it OK. I hope so, as this option is perfect for my situation.
